Documentation & Printout Costs:Any money spent by the customer on physical printouts, photocopies, professional passport photography, or document handling services at third-party vendors, cyber cafés, or retail shops.
Notary & Legal Certification Fees:Any fees or professional charges paid to advocates, lawyers, or notary publics for the notarization, legal attestation, verification, or witnessing of supporting application documents are strictly non-refundable and completely excluded from the package.
Courier & Logistics Fees:Any courier charges, tracking fees, or postal rates paid by the customer to ship physical paperwork to nearby visa processing centers, VFS facilities, or BalmyTrip Holidays offices. These logistical costs are entirely borne by the customer.
Personal Travel & Conveyance Expenses:If you are required to attend a mandatory physical appointment, interview, or biometric collection session at an embassy, consulate, or application hub, BalmyTrip Holidays will not pay for your personal transit. All local or long-distance travel expenses—including auto-rickshaw fares, taxi/cab charges, app-based rideshare bills, train/bus tickets, tolls, parking fees, or personal fuel charges—are strictly excluded from this cover.
Outstation, Hotel Stays & Dining Expenses:In cases where applicants must travel outstation or from one state to another to attend their visa appointment, all associated personal costs—including hotel accommodations, stays, food, dining, catering, and boarding expenses—are 100% non-refundable and will not be reimbursed under any circumstances.
Mandatory Travel Insurance Premium:For certain destinations where travel insurance is a mandatory prerequisite for visa clearance (such as Schengen countries), any travel insurance policy purchased separately or alongside the visa service is completely non-refundable. Once an insurance policy is issued, its premium cannot be refunded regardless of the ultimate visa outcome.

What documents do I need to submit and how do I file a claim?

To file a claim, you can choose either of the following submission methods:

Key Timelines

  • Document Re-validation Window: If the verification team determines that document re-validation is required, the customer must resubmit the updated/corrected document within the next 10 days.

  • Claim Submission Deadline: Users must successfully submit their complete claim via the online portal or email at least 24 hours before their scheduled departure to be eligible for a refund.

The following clear, legible documents must be provided regardless of the submission track chosen:

  • Official Visa Rejection Letter: The formal notice from the embassy/consulate stating the exact reason for rejection.

  • Special Country Exception (Japan / Turkey / China): In the case of an absolute absence of a physical Visa Rejection Letter from the embassy, you can arrange for and submit the consulate’s official email confirming the visa rejection.

  • Passport Copy: A clear copy of the visa-stamped page where the official visa rejection is explicitly mentioned (applicable for countries where rejection stamps are placed directly on the physical passport).

What if I don't get a physical Visa Rejection Letter?

In cases where you do not receive a detailed physical visa rejection letter (such as applications for China or Japan), you can submit a screenshot of the official visa rejection email via the online portal or email.

⚠️ Critical Display Requirement:You must ensure that the sender’s email address, your personal email address, and the entire email body are clearly visible in a SINGLE PDF file or screenshot. Unclear or cropped details may lead directly to the rejection of your claim by the verification team.

A refund claim will not be provided if the visa rejection is triggered by customer negligence, financial shortfalls, procedural faults, or document discrepancy, including:

  • Insufficient Proof of Funds: Rejections caused by an insufficient bank balance, standard low maintenance funds, or a structural lack of funds to cover the entire journey. Rejections due to financial sustenance issues are completely excluded from refunds.
  • Submission of incomplete, insufficient, false, or forged documents (including the use of dummy hotel vouchers, fake accommodation confirmations, or dummy flight tickets where actual, live ticket/hotel bookings do not genuinely exist).
  • Mismatched Identity & KYC Errors: Rejections caused by structural name variations, typographical errors, or surname mismatches across submitted Indian government IDs (Aadhaar, PAN Card), company records, bank accounts, and the applicant's passport.
  • Financial Account "Window Dressing": Rejections issued because of sudden, unexplained massive cash infusions or borrowed lump-sum balances deposited into the bank account right before generating statements, flagged by the embassy as unjustified funds.
  • Invalid or Non-e-Verified Tax Returns: Submission of manual, obsolete, un-e-verified, or manipulated Income Tax Returns (ITR or ITR-V) that cannot be validated.

Additional Policy Exclusions

Exclusions by Visa Type

This cover is only applicable for tourist visas. Other types of visas are strictly excluded from this program and are not covered, including business, student, work, dependent, or transit visas.

No Cover for Delays

Delays in visa processing from the embassy or consulate are not covered under this policy. The refund becomes applicable only and exclusively if your visa is officially rejected by the embassy/consulate.

Section 4: General Terms, Conditions, & Legal Disclaimers

Final Decision Authority:BalmyTrip Holidays reserves the right to fully verify claims, audit documentation across portal and email channels, and reject fraudulent, non-compliant, or ineligible cases.

Payout Window:Once the documentation is verified and approved by the claims team, your 100% refund will be credited back to the original source payment method (Credit Card, Debit Card, UPI, or NetBanking) within exactly 21 business days.

Non-Disparagement & Review Authenticity Provision:BalmyTrip Holidays provides this premium 100% protective visa refund cover entirely at zero cost to shield applicants from the financial risks of sovereign immigration outcomes. Sovereignty over visa approvals rests strictly with the destination country's embassy, not BalmyTrip Holidays. By accepting a 100% fee refund under this program, the user explicitly agrees that they shall not post, publish, or circulate any retaliatory negative reviews, defamatory content, or disparaging remarks against BalmyTrip Holidays on public forums, social media channels, or review aggregators (such as Google Reviews, Trustpilot, etc.). Any malicious public review posted despite receiving a complete policy-compliant refund will be treated as bad faith, a direct violation of these terms, and an abuse of the platform, giving BalmyTrip Holidays the right to recover the refund amount, terminate the user's account, and pursue legal damages.

Policy Modifications:BalmyTrip Holidays reserves the right to change, modify, or completely withdraw the Visa Denial Cover at any time at the sole discretion of the Management, without prior notice, liability, or assigning any reason whatsoever. BalmyTrip Holidays is the sole authority for the interpretation of these terms.

Anti-Abuse Clause:In the event of any detected fraud, misuse, or abuse of the terms of this program, BalmyTrip Holidays reserves the immediate right to deny or cancel the Visa Denial Cover.

Force Majeure:BalmyTrip Holidays shall not be held liable for any financial loss or damage arising due to a force majeure event.

Liability Cap:In no event does the entire liability of BalmyTrip Holidays under this Visa Denial Cover exceed the actual fee paid by the customer towards the specific visa booking.

Indemnity & Damages Limitation:In no event shall BalmyTrip Holidays be liable for any indirect, punitive, special, incidental, or consequential damages. You hereby agree to indemnify and keep BalmyTrip Holidays harmless against all damages, liabilities, costs, expenses, claims, suits, and proceedings arising from your violation of these terms or applicable laws.

Intermediary Status:BalmyTrip Holidays operates solely as an intermediary. BalmyTrip Holidays disclaims all liability and responsibility whatsoever for the services rendered by the end service provider (the embassies/consulates).

Governing Law & Venue:These terms and conditions are governed strictly by the laws of India. In alignment with our centralized corporate frameworks, the Honorable Courts of Lucknow and Pune will have exclusive jurisdiction over any matters or disputes arising out of or concerning this Visa Denial Cover.

Precedence of Terms:These terms and conditions are in addition to the standard Terms of Use and Privacy Notice of our platform. To the extent these conditions are inconsistent with general website terms, these specific clauses shall prevail concerning the Visa Denial Cover only.

Non-Transferable:The Visa Denial Cover is non-transferable, non-exchangeable, and cannot be redeemed for cash.

Electronic Record Compliance:This document constitutes an electronic record in terms of the Information Technology Act, 2000, and the rules thereunder as applicable, and the amended provisions about electronic records in various statutes.

Personal Use Only:Benefits under this program are intended strictly for personal use and shall not be commercially exploited. BalmyTrip Holidays shall not be responsible for any inaccuracy of information submitted by the user.
