PART 1: International Travel Policy (Outside India)
This document applies exclusively to international itineraries outside Indian borders.
Section 1: Emergency Trip Rescheduling Conditions
Purpose
The program is specially designed to offer flexibility, avoid trip losses, and assure peace of mind during challenging times. Free trip rescheduling is offered strictly according to the below macro-infrastructure conditions:
- Complete Lockdown: In the event of a complete lockdown. A complete lockdown (deadlock) refers to the absolute standstill/halt of all travel services in accordance with Indian or destination government orders.
- National Calamities: Complete lockdown means everything stands still as per government orders. For example, flights being suspended, hotels shut down, and public/private transport stopped due to severe acts of God, including earthquakes or total border suspensions.
Section 2: Self-Initiated & Personal/Medical Rescheduling Conditions
Purpose
The self-initiated trip reschedule facility offers extra protection by paying a trip rescheduling fee in an event where the client does not wish to travel because of personal reasons, individual medical disruptions, partial lockdown constraints, or elective choices, and wants to postpone the trip entirely on their choice. This helps clients avoid major monetary losses as an exception to the agreed payment and cancellation policy stated above.
Mandatory Eligibility & On-Spot Payment Execution
To prevent payment delays or downstream contract cancellations, any client seeking to reschedule under this section must strictly satisfy the following criteria before any request is processed:
- 100% Clearance of Trip Charges: The client must have fully cleared 100% of the original total trip charges. No rescheduling will be considered if there is any remaining balance on the file.
- On-Spot Fee Settlement: The applicable rescheduling fee percentage cannot be deferred, delayed, or paid at a later date. The calculated percentage must be paid on the spot via the custom payment link generated by BalmyTrip.
- Blocked Status: New travel dates will not be confirmed, blocked, or verified with third-party suppliers until both the 100% original payment and the on-spot rescheduling fee are cleared successfully.
Qualifying Tracks & Medical Validation
- Voluntary/Personal Track: Applies to voluntary changes, scheduling shifts, postponed wedding dates, or general travel anxieties.
- Partial Lockdown Track: Partial lockdown means flight services are on, hotels are open, and transport services are open. A partial lockdown does not qualify for a free emergency trip reschedule facility under Section 1 given that the travel services, though limited, are still open, and you can still travel by following the respective guidelines. Any adjustments or postponements due to partial lockdown conditions are treated under this section and will incur the tiered rescheduling fees.
- Individual Medical Track: Applies when the world is open, but an individual client experiences a sudden personal illness or medical event. To process a medical postponement under this section, the client must submit a verified medical validation bundle consisting of an official medical certificate signed by a licensed doctor explicitly stating the medical diagnosis and travel limitations, clear diagnostic reports/lab results confirming the medical condition, and matching doctor's prescriptions detailing the treatment timeline.
- Verification & Fraud Protection: All medical documents must display the physician’s active government registration/license number for backend verification. Any mismatch, alteration, or presentation of a false report will strictly lead to immediate trip cancellation with no refund, leading to 100% of the trip amount as a trip loss.
- Medical Validation Cut-off Window: To qualify for individual medical restructuring, the complete Medical Validation Bundle must be submitted digitally to BalmyTrip at least 4 days (96 hours) prior to the scheduled departure time. Retroactive submissions after this cut-off window or the trip start time will not be entertained.
- Split-Group Rescheduling Policy: Medical and voluntary rescheduling applies strictly to the individual traveler affected. If accompanying travelers choose to postpone their travel alongside the affected individual, their files will be treated under the standard Self-Initiated/Voluntary fee tiers based on their respective notice window.
Simplified Rescheduling Policy Framework (P2-02)
Effective July 22, 2026. Voluntary, partial lockdown, and medical postponements under this section are governed by a simplified 3-window model based on hours before the scheduled flight departure:

Timeline & Base Definitions:
- Definition of "Land Package" Base: The hotel accommodation cost (non-refundable) is calculated from the actual supplier cost as recorded in your BalmyTrip CRM file, including accommodations, before any promotional discounts are applied.
- Definition of "Departure" (The Clock Regulation): All notification timelines are calculated in hours, counting backwards from the actual scheduled departure time of your first outbound flight as recorded in the BalmyTrip system (IST). Where no flight departure time is recorded, 00:00 IST on the first travel date is used as the default.
- Peak Season Blackout: Trip rescheduling cannot be done during peak season dates (20th Dec 2026 to 10th Jan 2027).
- Airline Independence: Flights are governed exclusively by the airline's own cancellation and rescheduling policy. BalmyTrip has no authority over flight fees or airline change charges. Critically, flight delays, rescheduling, or cancellations by an airline do NOT alter or reset BalmyTrip's 96-hour cancellation or 48-hour rescheduling policy windows. The land package contract is independent of the airline contract. Customers experiencing airline disruptions should contact the airline directly and refer to their travel insurance for coverage.
Section 3: Operational Rules & International Compliance
- Seasonality Rules: Rescheduling can only be done at different seasons of travel. Ideally, every location has 3 travel seasons (Low, High, and Peak Season). If your trip is booked for the Low season, rescheduling is provided in the Low season given the lower relative package costs. Upgrading to a higher seasonal tier requires the client to pay the extra charges/fair difference of the land package for peak and high season travel.
- Inflation & Supplier Price Hike Clause: While seasonal tiers must match, any net price increases levied by hotels, transport providers, or local suppliers for the new travel dates will be passed directly to the client.
- Third-Party Flight Scope: Airlines do not come under our scope as we do not own the flights and are solely a service provider on behalf of the airlines. The money paid for flights goes directly to the carriers. We strictly follow the cancellation/rescheduling policies as per the airlines, and BalmyTrip will not be held responsible for carrier losses or delayed airline replies.
- Operations Target Notice: BalmyTrip must be formally informed at least 45 days in advance about your new target travel dates to securely execute necessary international partner reservations.
- One-Time Cap: Trip rescheduling does not grant ongoing trip cancellation flexibility. This is a strict one-time exception and only applicable for trip reschedule. Any future modifications beyond this instance will incur 100% of the trip loss.
- Supplier & Itinerary Control: BalmyTrip holds the right to revise the itinerary and hotels for any situation beyond our control and provide the best alternate options available, including changes in international car/ferry/speedboat capacities or partner shutdowns/insolvency.
- Financial Compliance: Clients must clear 100% of the payment as per the agreed payment cycle along with the mandatory on-spot rescheduling fee link execution to secure eligibility. Defaulting on payments gives BalmyTrip the absolute right to cancel the complete trip leading to 100% of the amount as a trip loss, with recovery files immediately routed to our legal team.
- Partner Ethics Clause: Direct client negotiation in the backend with international suppliers or properties to bypass BalmyTrip's protocol violates core business ethics. Such actions will result in immediate file cancellation leading to 100% trip loss.
- Legal Jurisdiction: Rules and regulations defined by embassies/visa issuing authorities will be applicable. Our legal team may file a legal suit under the joint jurisdiction of the Honorable Courts of Lucknow and Pune.
- Application Scope: The said policy is only applicable for International travel outside India only.
PART 2: Domestic Travel Policy (Within India)
This document applies exclusively to domestic travel itineraries within Indian borders.
Section 1: Emergency Trip Rescheduling Conditions
Purpose
The program is specially designed to offer flexibility, avoid trip losses, and assure peace of mind during challenging times. Free trip rescheduling is offered strictly according to the below macro-infrastructure conditions:
- Complete Lock-down: In the event of complete lock-down. Complete lock-down (Deadlock) refers to absolute standstill/haul of all the travel services in accordance with the Indian Govt orders.
- Domestic Calamities: Complete lock-down means everything is standstill as per the government orders. For example: Flights being suspended, hotels shut down, and public/private transport stopped due to severe regional natural disasters such as earthquakes.
Section 2: Self-Initiated & Personal/Medical Rescheduling Conditions
Purpose
The self-initiated trip reschedule facility offers extra protection by paying a trip rescheduling fee in an event where a client does not wish to travel because of personal reasons, sudden health changes, partial lockdown constraints, or individual choices, and wants to postpone the trip entirely on his own choice. This helps clients avoid monetary losses as an exception to the agreed payment and cancellation policy stated above.
Mandatory Eligibility & On-Spot Payment Execution
To prevent payment delays or downstream contract cancellations, any client seeking to reschedule under this section must strictly satisfy the following criteria before any request is processed:

Any adjustments or postponements due to partial lock-down conditions are treated under this section and will incur the tiered rescheduling fees.
- Individual Medical Track: Applies to sudden personal health emergencies when domestic travel sectors are open. To process a domestic modification for medical reasons, clients must submit a verified medical validation bundle consisting of a formal medical certificate stamped and signed by a licensed doctor detailing the exact diagnosis and travel restriction, official prescriptions matching the treatment timeline, and all supporting diagnostic lab reports or clinical data.
- Anti-Fraud Mandate: All documents must display the physician’s active medical registration number. Any mismatch, file alteration, or presentation of false records will strictly lead to immediate trip cancellation with no refund, leading to 100% of the paid amount as a trip loss.
- Medical Validation Cut-off Window: To qualify for individual medical restructuring, the complete Medical Validation Bundle must be submitted digitally to BalmyTrip at least 4 days (96 hours) prior to the scheduled departure time. - One-Time Rule: Trip rescheduling will not give trip cancellation flexibility. This is a one-time exception and only applicable for trip reschedule. Any other future modifications will incur 100% of the paid amount as a trip loss.
- Internal Logistics Changes: Future travel dates may have some changes in car/ferry/speedboat seating capacity and changes in hotel facilities. BalmyTrip holds the right to revise the itinerary and hotels for any situation beyond our control and provide the best alternate options available, including cases where domestic partners go bankrupt or close down.
- Payment Collection Rules: Client must clear 100% of the payment as per the agreed payment cycle along with the mandatory on-spot rescheduling fee link execution to secure eligibility. Late payments or defaults give BalmyTrip the right to cancel the complete trip leading to 100% of the amount as a trip loss, with files handed to our legal team.
- Supplier Protection Clause: Directly reaching domestic properties or ground partners to negotiate in the backend against the business ethics of BalmyTrip will lead to strict actions, including immediate trip cancellation leading to 100% trip loss.
- Legal Jurisdiction: Our legal team may file a legal suit under the joint jurisdiction of the Honorable Courts of Lucknow and Pune.
- Application Scope: The said policy is only applicable for domestic travel in India only.
